What Notizli is

Notizli turns meeting recordings into transcripts, minutes, and tracked action items. This page describes what data it collects, how long it's kept, who processes it, and the controls you have over it.

Who is responsible

The controller responsible for your data is Joel Breguet, Badenerstrasse 256, 8004 Zürich, Switzerland, hello@notizli.ch. Notizli is run by one person. For the recordings you make, you decide what is recorded and why; Notizli processes that content on your behalf.

What we store

Your account details (email address, and profile info if you sign in with Google or Microsoft); the audio you upload or record; the transcript produced from it; the meeting minutes and action items derived from it; the customer, deal and speaker names you assign to a meeting; and the names and roles of people Notizli recognises in your meetings, kept per customer so later calls are labelled automatically. If you connect a calendar: an encrypted key that lets Notizli read it, and — only for meetings you record — that meeting's title and the names of the people invited.

Recording retention

Audio recordings are deleted automatically within 24 hours of the meeting, whether or not processing succeeded. Transcripts, minutes and action items are kept until you delete them. Your account is kept until you delete it; an email sign-up that is never confirmed is deleted after 7 days.

Why we process it

To provide the service you signed up for: your account, your recordings and everything derived from them (Art. 6(1)(b) GDPR, where it applies). Connecting a calendar, Google Drive or OneDrive is your choice and can be undone at any time. We send you account emails (confirming your address, resetting a password, your free hours running low) and a few onboarding tips, which you can unsubscribe from with the link in each email. Names of invitees and other third parties are covered under “Calendar” below.

Hosting and access

Notizli runs on a server rented from Infomaniak in Switzerland, which also delivers its emails. As the person running Notizli, Joel Breguet can technically access what is stored on that server, including transcripts and minutes. Meeting content is looked at only when you ask for help with a specific meeting, or when the law requires it. Routine checks use counts, not content.

Processors

Transcription and AI extraction are performed by third-party providers under contract, purely to produce your transcript and minutes. Minutes, action items and titles are generated by Infomaniak AI Services in Switzerland; audio is transcribed by Deepgram on its servers in the European Union, together with the names of the meeting's participants and companies so it recognises them. Your content is not used to train their models. No data is sold or shared for advertising.

Data outside Switzerland

Notizli's application, database and recordings are hosted in Switzerland. Data leaves Switzerland only in these cases: audio, and the participant and company names sent with it, is transcribed on Deepgram's servers in the European Union, whose protection Switzerland recognises as adequate, under a data-processing agreement with Deepgram; and if you connect Google Drive, Google Calendar, OneDrive or Outlook, Notizli exchanges data with Google or Microsoft, whose services may process it in the United States. Google and Microsoft are certified under the Swiss-U.S. Data Privacy Framework.

Google user data

If you connect Google Drive, Notizli requests only the drive.file scope — access limited to files and folders Notizli itself creates in your Drive (for exporting meeting minutes and action items). It cannot see, list, or modify any other file in your Drive. If you sign in with Google, Notizli receives only your name, email address and profile picture. If you connect Google Calendar, see “Calendar” below. Google user data is never used for advertising, is never used to develop, improve or train generalised artificial-intelligence or machine-learning models, and is never shared with third parties beyond the processors named above, and only as needed to provide Notizli's features to you. Notizli's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft user data

If you connect OneDrive, Notizli requests only the Files.ReadWrite.AppFolder permission — access limited to the folder OneDrive creates for Notizli (Apps › Notizli), where it exports meeting minutes and action items. It cannot see, list, or modify any other file in your OneDrive. It also reads your name and email address, to show which account is connected, and keeps an encrypted access token so exports continue while you are away. If you sign in with Microsoft, Notizli receives only your name and email address. Microsoft user data is never used for advertising and is never shared with third parties beyond the processors named above.

Calendar

Connecting Google Calendar or Outlook is optional. Notizli then reads your meetings around two moments only: the coming hours, to remind you to record while Notizli is open, and the time a recording started, to find the meeting it belongs to — so the recording is named after it and the minutes can name the people speaking. For each meeting it reads the title, the times, whether it has a video link, and who is invited (names and email addresses). The addresses are used in memory only, to leave you out of the list and to work out a name where none is given; they are never stored. Access is read-only (Google: calendar.events.owned.readonly; Microsoft: Calendars.ReadBasic, which excludes meeting descriptions and attachments). Notizli never changes your calendar and does not keep a copy of it: upcoming meetings are held in memory for at most two minutes.

For a meeting you record, Notizli keeps the meeting's title and the invitees' names (never their email addresses) with that recording, and gives the names, together with the transcript, to the AI provider named above, so the minutes can say who said what. Invitees are third parties: Notizli processes their names only for the minutes of a meeting they were invited to with you, and they are deleted with the meeting. You can remove them from a recording at any time with “Unlink”. Notizli processes invitees' names on the basis of your legitimate interest in accurate minutes of a meeting you took part in (Art. 6(1)(f) GDPR, where it applies). Invitees can ask for their names to be removed by writing to hello@notizli.ch.

You can disconnect a calendar in Settings at any moment. For Google, this withdraws Notizli's access (if Google Drive is also connected, the access ends when you disconnect both, because Google grants it to Notizli as a whole). Microsoft offers no way for an app to withdraw its own access, so Notizli forgets its key, and you can also remove Notizli at myapps.microsoft.com (work or school) or account.live.com/consent/Manage (personal).

Your control

You can delete any meeting, customer or task at any time. Deleting a meeting removes its transcript, minutes, action items, notes and audio, and moves its file in your Google Drive or OneDrive to the bin. You can disconnect either one under Your AI at any moment. For Google Drive that revokes Notizli's access immediately. Microsoft offers no way for an app to withdraw its own permission, so for OneDrive Notizli deletes its access token immediately; to remove the permission from your Microsoft account as well, remove Notizli at myapps.microsoft.com (work or school account) or account.live.com/consent/Manage (personal account).

You can delete your whole account yourself under Settings → Delete account. That removes everything Notizli holds for you, ends its access to your Google Drive or OneDrive as described above, and disconnects any calendar. The Notizli folder in your Drive or OneDrive belongs to you and is left in place for you to delete, and anything you added to a Claude Project or another AI assistant stays there until you remove it.

Your rights

You can ask what data we hold about you and get a copy of it, have it corrected or deleted, receive it in a common format, and object to processing based on legitimate interest. Write to hello@notizli.ch and we will answer within 30 days. If you think we handle your data unlawfully, you can complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC, edoeb.admin.ch) or, if you live in the EU, to the data protection authority in your country.

Changes

When this policy changes in a way that matters to you, we will tell you by email before the change takes effect. The date at the top shows the latest version.
